Bookkeeper/ Office Admin- Custom Home Builder in Dickinson, TX Job Overview:
We are seeking a highly organized and proactive Bookkeeper/ Office Admin to join our family-owned and operated company.
In this position you will play a crucial role in ensuring the smooth and efficient operations of our fast- paced office.
Your primary responsibility will be to oversee our financial operations, administrative tasks, manage office procedures, and provide support to the team.
This role requires exceptional multitasking abilities, attention to detail, and the ability to thrive in a high-pressure environment.
Your expertise in QuickBooks will play a vital role in maintaining accurate financial records.
Responsibilities:
-Utilize QuickBooks Desktop daily to accurately record and manage financial transactions, including accounts payable and receivable, invoicing, and payroll.
-Manage day-to-day office operations, including but not limited to, maintaining office supplies, answering phone, organizing mail/ deliveries.
-Proactively identify opportunities for process improvement and implement effective solutions.
-Order material for jobs and draft/ Edit documents, as needed.
-Track and organize all job expenses for each job.
QuickBooks Desktop:
-Reconcile bank statements and monitor financial transactions to ensure accuracy.
- Generate financial reports, including profit and loss statements, balance sheets, and cash flow statements, using QuickBooks Desktop, weekly.
-Work closely with the owner to assist in budgeting, forecasting, and financial analysis.
-Coordinate and manage all aspects of the billing process, ensuring accurate and timely invoicing to clients.
-Handle vendor management, including processing vendor invoices, managing payment schedules, and resolving any billing discrepancies.
-Assist in the preparation of tax documents and financial statements.
-Collaborate with owner to improve operational efficiency.
-Support the owner and office team by assisting with administrative tasks, scheduling, and coordination of meetings and events.
Requirements:
-Proven experience as an Office Manager or similar role, with expertise in QuickBooks Desktop.
- Proficiency in using QuickBooks Desktop for financial record-keeping, reporting, and analysis.
- Ability to work independently and knowledge of construction is a big plus.
-Proficiency in Excel, Word, Etc.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong attention to detail and accuracy in all aspects of work.
